Position Summary
Under general supervision, the IPRA/Discovery Specialist receives, evaluates, prepares, and processes records, documents, audio, video, and other related materials for the Los Lunas Police Department (LLPD). Responsibilities include responding to both public and internal requests in accordance with the New Mexico Inspection of Public Records Act (IPRA) and legal discovery requirements. This role ensures compliance with all applicable laws, coordinates with other departments, and performs a variety of technical and administrative support tasks within the assigned area.
Key Responsibilities:
  • Receive, review, and process requests for public records and discovery materials.
  • Gather, prepare, and redact documents, audio recordings, video footage, and other materials as required by law.
  • Upload, compile, and track all records and reports associated with requests using various records management systems and digital platforms.
  • Review requests to identify applicable resources and legal exemptions; consult with legal advisors when necessary.
  • Coordinate with internal departments such as Records, Internal Affairs, Human Resources, Payroll, Legal, and IT to collect required information.
  • Maintain strict confidentiality of sensitive materials and information.
  • Respond to subpoenas, discovery requests, and court-ordered record productions in a timely and legally compliant manner.
  • Respond to phone, in-person, and written inquiries related to public records and discovery requests.
  • Draft and prepare routine correspondence, reports, and documentation.
  • Operate standard office equipment including computers, copiers, scanners, and specialized law enforcement software.
  • Maintain accurate records, logs, and databases related to requests, releases, and responses.
  • May provide support or guidance to clerical staff as needed.
  • Provide courteous and efficient service to members of the public, legal professionals, and LLPD personnel.
  • Assist other Village departments with records-related inquiries when appropriate.
  • Perform related duties as assigned.
Qualifications:
  • High school diploma or GED.
  • Four (4) years of clerical or administrative support experience.
  • Experience in a law enforcement or legal environment preferred.
  • Any combination of education and experience that provides the required knowledge and abilities may be considered.
  • Must be able to pass a background check and any required security clearances.
  • Knowledge of IPRA laws and legal discovery procedures
  • Familiarity with police report writing and records management systems
  • Knowledge of redaction practices and confidentiality standards
  • Knowledge of Microsoft Office Suite and law enforcement records software
  • Knowledge of principles of business correspondence and customer service
  • Knowledge of public records retention and archiving standards
