The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of Administrative Assistant 3 at Washington State Penitentiary (WSP) located in Walla Walla, WA.

The Washington State Penitentiary is staffed 24-hours a day, 7 days a week. Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all offenders can learn to make choices that contribute to a safer society.

The Washington State Penitentiary (WSP) is comprised of 3 Close Custody Units, 3 Special Housing Units, 2 Intensive Management Units, 3Medium Units, 2 Minimum Housing Units and a Hospital. In all, WSP houses approximately 2,000 offenders and employees approximately 1,000 staff.

This position reports directly to the Associate Superintendent responsible for the East Complex at the Washington State Penitentiary, serving as their personal assistant and liaison between the Associate Superintendent and their staff.

Duties:
  • Ability to maintain confidentiality and professionalism.
  • Prepare rough drafts; formalize documents; confidential and sensitive material, and correspondence.
  • Prepares background information in preparation for Associate Superintendent’s professional commitments.
  • Maintain the Associate Superintendent’s calendar, effectively schedules the Associate Superintendent’s time and establishes priorities.
  • Screens, prioritizes, and distributes the Associate Superintendent’s mail.
  • Provides interpretation or explanation of the Associate Superintendent’s policies or viewpoints.
  • Serves as liaison between Associate Superintendent and other staff members, transmitting assignments and requesting status information.
  • Arrange group and/or conference meetings, prepare agendas, take minutes and document as required.
  • Assist Secretary Senior for the East Complex CPM as necessary.
  • Create, develop, maintain, and distribute appropriate reports to administrators and staff.
  • Work with a high level of competency with systems and programs required to manage area of responsibility to maintain reporting and tracking structures.
  • Coordinate and follow up on the work of others to ensure completion of required tasks, timely completion of monthly and quarterly reports and other necessary documents.
  • Makes travel arrangements and monitor’s travel documents for the Chain of Command in accordance with policy.

Required:

  • High School diploma or G.E.D.

AND

  • Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.

OR

  • Formal education and/or training in office management will substitute year-for-year for experience.

Desired:

  • A Bachelor's degree in business administration, public administration, or closely allied field and two years of responsible office experience at the senior clerical level or higher.
  • Experience working in the Department of Corrections is highly desirable.
  • The successful candidate will have the ability to work independently; read, understand, and interpret policies and procedures; develop written reports; work effectively with others; communicate effectively, both in writing and in speech; and maintain confidentiality.
  • This position requires a high degree of independence, decision making skills, the ability to work with a minimal amount of supervision, dependability, flexibility, accuracy and proficiency and Microsoft Office applications.
  • Have a good working knowledge of DOC policies, rules and regulations, and where to search for answers.
  • Have strong work ethic, work as a team member, maintain confidentiality, work well with others.

Tuberculosis (TB) is a priority health issue for DOC employees. The successful candidate may be required to provide valid proof of a baseline TB skin test within 60 days from the date of hire. When positive tests result, further information, testing, and treatment will also be required. Employment is not contingent upon test results.

This is an onsite position and not allocated for telework.
