As an Administrative Assistant I, you will:- Perform a variety of general administrative duties in support of the Training Commander, Lieutenant/Training Director, training staff, visiting instructors, recruit/lateral, CSO Academies, and in-service training.
- Assist with the coordination of the supply issue for recruit classes, tracking equipment and uniform items issued and pending.
- Conduct the Soft Body Armor fittings, scheduling, issuance and tracking for, recruits and classes. Work directly with the Soft Body Armor vendor in obtaining measurements for new soft body armor and recycling of outdated armor.
- Assist with the submission of all POST documents and verify compliance with Colorado P.O.S.T. (Peace Officer Standards and Training) meeting the guidelines by the established deadlines. Assure Appointments and Separations are submitted to Colorado P.O.S.T. (Peace Officer Standards and Training) in a timely manner.
- Assist with responses to the City Attorney’s Office CORA requests and checklists, providing training documentation as needed.
- Maintain a calendar of activities, meetings and various events for assigned staff; schedule meetings, training sessions and coordinate activities with other City units or groups, the public and outside agencies; schedules use of classrooms and meeting rooms; make travel arrangements as required.
- Screens and handles walk-ins, telephone callers and inquiries via email, handles walk-in recruiting inquiries.
- Prepare agendas, attend meetings, take minutes and notes of action taken; distribute information to appropriate staff as necessary or as directed.
- Perform a variety of the full range of general clerical duties including creating, updating and maintaining sworn, civilian, recruit and volunteer training files; associated record keeping, data processing; ordering office supplies, equipment and budgeted items.
- Provide information on Police Department procedures; respond to and resolve routine inquiries; recommend improvements in workflow, procedures and use of equipment and forms.
- Assist with and coordinate Family Academy Programs, Shield 616 presentations and similar events.
- Design and coordinate recruit graduation ceremonies and receptions.
- Performs other duties and responsibilities as assigned.
Knowledge, Skills and Abilities:
- Ability to read and comprehend what was read
- Ability to perform basic arithmetic operations
- Ability to use automated record keeping systems
- Ability to retrieve information from computer files
- Ability to prepare recurring and special reports
- Ability to plan and coordinate and implement plans
- Knowledge of and proficiency in Microsoft Word, Excel and PowerPoint.
- Knowledge of automated and manual filing and record keeping systems
- Knowledge of office machines and audio-visual equipment
- Ability to make sound decisions
- Equivalent to completion of the twelfth grade (high school diploma or GED).
- One year of full-time, professional experience in a related field.
Education and Experience Equivalency: One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.- Proficient in Microsoft Applications, Windows, Word, Excel and PowerPoint
- Working knowledge of Colorado POST (Peace Officers Standards and Training).
- Knowledge of budget process
- Ability to become a Colorado notary
